Seahorse Families --

We wanted to share an update regarding Time Trials attendance and sign-outs. Previously, we communicated that we would not be accepting sign-outs for Time Trials. However, after reviewing the best way to manage the event efficiently, we are requesting that swimmers who cannot participate complete an online sign-out through SwimTopia. We feel this is the best way to respect the time of our computer team, athletes, volunteers, and coaches.

If your swimmer is unable to attend Time Trials, please complete your sign-out in SwimTopia no later than 8:00 PM tomorrow evening, May 28, 2026.

We ask that families only sign out if they know their swimmer cannot attend. (If you are unsure, please do not sign out.) This will allow us to limit the number of empty lanes we have on Saturday and should significantly shorten our time on deck. Please find instructions below.

Please remember that Time Trials are extremely important for establishing official starting times for the season and swimmers cannot earn achievement ribbons without a recorded starting time. Time Trials are also valuable practice for new swimmers and help everyone become more comfortable with meet procedures before the season officially begins.

We apologize for any confusion and the last-minute scramble this adjustment may cause. Though we are in our second year with SwimTopia, we are still exploring the platform and balancing its capabilities with our longstanding team procedures. We hope that all changes are a benefit to our team members and families!

Sign-Out Instructions

- Visit our SwimTopia site (https://sudleyseahorses.swimtopia.com/) and log in.
- Select "Schedule" from the tab at the top of the page.
- Beside the event, select the green "Meet Entry" button.
- Select "Edit" at the bottom of the page.
- Using the drop-down menu, select "Not attending this meet" for each swimmer who cannot attend.
- Save your changes using the green "Save" button at the bottom of the page.

You do not need to confirm that your swimmer will be attending. Swimmers who do not sign out will be assumed to attend.
